A bookkeeper assessment test for hiring: accounting, Excel, attention to detail and numerical reasoning tests, a reconciliation task and interview questions.
A bookkeeper assessment test checks the skills bookkeepers use every day: recording transactions correctly, reconciling accounts, working accurately in spreadsheets and handling numbers with care. The HireValid bookkeeper bundle combines four short tests in about 43 minutes, so you can compare every applicant on the real work before you interview.
What does a strong candidate show?
Hire careful bookkeepers who record transactions accurately and keep the accounts reconciled. Look for specific evidence of the essential skills rather than a polished presentation alone.
Record transactions accurately
Reconcile accounts
Work with spreadsheets
A job-relevant follow-up
Reconcile a short bank statement against the cash book, explain each difference and post the missing entries.
Share the instructions and scoring criteria before the task. Keep it short and avoid asking candidates for unpaid commercial work.
A question worth asking
Tell us about a reconciliation that would not balance. How did you find the difference?
Ask the same core question of every candidate, then follow up on the evidence they give. Make accommodations available.

Do I need to sign an annual contract?+
No. Monthly billing is the default. An optional annual plan is available for teams that prefer it, with two months free. You can start without an annual commitment.
Can I try HireValid without a credit card?+
The Free plan includes one active assessment and up to five candidates per month, with no credit card required. Signup happens in the separate HireValid app.
What happens when I am not hiring?+
The Pause plan costs $9 USD per month. It keeps your account and candidate history viewable within applicable retention limits, with no new invitations. Resume when you are ready to hire again.
What is on a bookkeeper test?+
The HireValid bookkeeper bundle covers bookkeeping and accounting, Excel basic, attention to detail and numerical reasoning, in about 43 minutes. Together they check double entry, reconciliation, spreadsheet accuracy and comfort with numbers.
Is this bookkeeping skills assessment suitable for accounts assistants?+
Yes. Accounts assistants and accounts payable or receivable clerks use the same core skills. Adjust the work sample to their daily tasks, such as matching invoices to payments, and keep the tests the same.
How long does the bookkeeper assessment take?+
About 43 minutes for the four tests in one sitting, plus a short practice section. Shortlisted candidates then complete a 20-minute reconciliation task and a structured interview.
Is this bookkeeper test suitable for part-time roles?+
Yes. Part-time and freelance bookkeepers need the same core skills. Because they often work alone, weight the reconciliation work sample heavily and ask in the interview how they check their own work.
Should a bookkeeper test include payroll?+
Not by default, because payroll rules vary widely by country. If the role includes payroll, ask about it in the structured interview and include a short payroll task in the work sample.
Can I use the bookkeeper bundle for accounting graduates?+
Yes. It shows whether graduates can apply what they learned to everyday bookkeeping. Weight the work sample and interview, which show how they approach real records.
What makes a good bookkeeper assessment test?+
It checks double-entry understanding, reconciliation, accuracy and spreadsheet skills on realistic tasks, in a short assessment every applicant takes under the same conditions, followed by a reconciliation work sample and a structured interview.
How do I check a bookkeeper’s references?+
Ask previous managers or clients the same questions for each candidate: what the bookkeeper was responsible for, how accurate their work was and how they handled deadlines such as month end. Treat references as one piece of evidence alongside the test and interview.
What a bookkeeper actually does
A bookkeeper keeps the financial records of a business accurate and up to date. Day to day, that means recording sales and purchases, matching payments to invoices, chasing what customers owe, paying suppliers on time, reconciling bank accounts and preparing figures for the accountant or owner.
Bookkeeping CVs often list software and qualifications, but they do not show whether someone can find a reconciliation difference or post a supplier payment correctly. A bookkeeper test shows those skills directly. It is one of the role bundles in the skills assessment tests for hiring library.
The same bundle works as a bookkeeping skills assessment for accounts assistants and accounts payable or receivable clerks, with the work sample adjusted to the role.
The bookkeeping test bundle, and why each test is there
The suggested bundle has 4 tests and takes about 43 minutes in total. Each test maps to a real part of the work:
Bookkeeping and Accounting (15 minutes): checks double-entry basics, payables, receivables and reconciliation, the core of the job.
Microsoft Excel - Basic (10 minutes): checks the spreadsheet skills bookkeepers use for lists, totals and checks outside the accounting software.
Attention to Detail (8 minutes): checks that invoice numbers, amounts and dates are matched and copied exactly.
Numerical Reasoning (10 minutes): checks comfort with percentages, totals and tables, such as sales tax and payment schedules.
Use the builder above to adjust the bundle to your own role. Remove any test that does not map to a task the person will do in their first weeks, rather than adding more.

A bookkeeper work sample to pair with the tests
After the tests, give shortlisted candidates a 20-minute task: a short bank statement and cash book with three or four differences, such as an uncleared cheque, a bank charge and a duplicated entry. Ask them to reconcile it, explain each difference and post any missing entries. Score accuracy and the clarity of their explanation.
If you use particular accounting software, let candidates use a spreadsheet instead; the skill you are checking is the reconciliation, not the software.
Interview questions for bookkeepers
Use the same structured questions for every candidate. The bookkeeper interview questions template includes questions about reconciliations, deadlines and mistakes, with a scoring guide. Ask each candidate to talk through one of their test answers, such as a journal entry, to confirm their understanding.
Keep the interview practical: about 30 to 40 minutes, with one question that asks the candidate to walk through how they would find a reconciliation difference. Listen for a methodical order, such as timing items, bank charges, duplicates and transposed digits, and for honesty about when they would ask the accountant. Ask, too, how they would handle a busy month end with a deadline they cannot meet: strong candidates raise it early, explain the impact and suggest what can safely wait until the following week.
What good looks like in a bookkeeper
Strong bookkeepers are careful and methodical: they check figures against sources, investigate differences rather than forcing a balance, keep clear records and raise problems early. In the tests, look for strong bookkeeping and attention to detail results. In the interview, look for specific examples of finding and fixing errors, and for an honest description of what they would ask an accountant.
Keep the process fair to applicants with different routes into bookkeeping. Many capable bookkeepers learned on the job rather than through a qualification, so let the test and the reconciliation task show the skill. Explain the conventions you use, such as sales tax or VAT, and allow a calculator. Make adjustments easy to request, and after each round compare how applicants from different groups progressed through each step.
Common mistakes when hiring bookkeepers
Hiring on software names alone. Knowing a package is not the same as understanding double entry.
Skipping a reconciliation task. It is the clearest test of real bookkeeping skill.
Over-weighting qualifications. Many strong bookkeepers learned on the job; test the skill.
Not checking accuracy. Transposed digits and duplicates are the most common bookkeeping errors.
Long assessments. Four short tests and one task are enough evidence for most roles.
Adjusting the bookkeeper assessment test for your business
The bookkeeper assessment test works as it is for most small businesses, but you can tune it. For an accounts payable role, weight the bookkeeping test's payables questions and the attention to detail test most heavily. For a role that prepares management reports, consider swapping Excel basic for Microsoft Excel intermediate. For a part-time bookkeeper working alone, the reconciliation work sample matters even more, because nobody else will check their work day to day.
Whatever you change, keep the total under about 45 minutes and use the same tests for every applicant in a round. The bookkeeping and accounting test page explains each part of the core test.
What to check in the first weeks
Use the assessment to plan the first month. Review the first reconciliation together, check a sample of entries in the first week and agree how the new bookkeeper will raise questions. If Excel or numerical scores were lower, offer a short refresher on the spreadsheets your business uses.
