What the data entry assessment test covers
The data entry assessment test has three short tasks:
- Transcription. Copy a set of records, such as names, addresses and reference numbers, exactly as shown.
- Form completion. Enter details from a source document into the right fields of a form, matching formats such as dates and codes.
- Number pad entry. Key a list of figures, including decimals, using the 10-key pad, scored in keystrokes per hour (KPH) and accuracy.
Accuracy is scored as carefully as speed. A transposed digit in an account number or a wrong date causes more work later than a slightly slower entry, so the results show both, and you can weight them for the role. What is a good data entry speed?
There is no single standard, so we do not quote one. Employers set the speed they need from the work itself, usually as a minimum words per minute for text, a minimum keystrokes per hour for numbers, and a minimum accuracy, and they normally state it in the job advert or the test invitation.
To set a fair bar, time a few people already doing the job well on a realistic sample, then set the minimum a little below their typical result, with accuracy as the first requirement. A fast typist who makes frequent errors is usually a worse hire for data entry than a steady, accurate one. Review the bar after each hiring round, and lower it if good performers in the role would not meet it.
What a good data entry score looks like
The results show speed and accuracy for each task, and, where suitable norm data exists, a percentile with its reference group. Look at accuracy first: for most data entry roles, a candidate who is accurate at a steady pace will outperform a faster candidate who needs their work checked.
Then compare speed with the bar you set from the real work. Different tasks matter for different roles: number pad speed for billing and accounts, transcription for records and claims, form completion for order processing.
How to use it with a work sample and interview
Follow the test with a short task in your own system or a copy of it: ten real-looking records to enter, with one or two that contain a problem, such as a missing field or an unclear date. You will see whether the candidate checks their work and flags problems rather than guessing.

How this test resists AI assistance
Data entry is a hands-on skill: the test measures keystrokes and accuracy as the candidate types, so there is nothing for an AI tool to answer. Pasting can be restricted in the entry fields, and integrity settings record browser events such as leaving the tab, which feed an Integrity Score for a person to review. Records and figures are drawn from pools, so they differ between candidates.

Common data entry errors
Most data entry mistakes fall into a few patterns, and the test is designed to surface them:
- Transposed characters. Swapping two digits, such as 40817 for 40871, is the most common error and the hardest to spot later.
- Format slips. Dates in the wrong order, missing leading zeros or the wrong decimal separator.
- Skipped or repeated rows. Losing your place in a long list and entering a record twice or not at all.
- Guessing missing values. Filling a blank field instead of flagging it.
- Copying from the wrong field. Entering a phone number where the account number should go.

Data entry tests for remote roles
Many data entry jobs are remote, which makes a consistent online test especially useful: every applicant takes the same tasks under the same conditions, wherever they are. Ask candidates to use the device they would use for the job, ideally with a full keyboard and number pad, and to take the test somewhere quiet.
Remote applicants vary widely in experience, so weight accuracy and form completion as heavily as raw speed, and follow up with a short task in your own system before making an offer. The integrity signals help you review results fairly without needing heavy monitoring.
